You’ve decided that you don’t want to manage your Bali villa alone.
Perhaps you live overseas, don’t have the time to deal with guests and maintenance, or simply want a professional team to take care of the property while you focus on other things.
The next question is usually:
How long does it take for Gravity to take over my villa?
The honest answer is: it depends on the villa.
We don’t believe in rushing a property into management simply to get it online as quickly as possible. Before welcoming guests, we want to understand the property, assess its condition, prepare the team, create the right marketing, and make sure the operation is ready.
Here’s what the process looks like.
Step 1: The First Conversation
Everything starts with a conversation.
When you contact Gravity, we first learn more about your villa and what you’re looking for. We’ll usually discuss:
- Villa location
- Number of bedrooms
- Current condition
- Design and facilities
- Current rental situation
- Existing bookings
- Rental objectives
- Your preferred level of involvement
- Personal use of the villa
- Legal and operational considerations
We also want to understand you as an owner.
Some owners are focused primarily on rental income. Others want to combine rental income with regular personal stays. Some simply want someone they trust to look after their property while they are abroad.
There is no single management strategy that works for every owner.
Step 2: We Visit Your Villa
Once we’ve discussed the property, the next step is for our team to visit the villa.
This is an important part of the process. Photos and videos can tell us a lot, but they don’t tell us everything.
During the visit, we look at the villa from both an owner’s perspective and a guest’s perspective.
We assess:
- General condition
- Bedrooms and bathrooms
- Pool
- Garden
- Kitchen
- Furniture
- Equipment
- Air conditioning
- Water systems
- Outdoor areas
- Access
- Location and surroundings
We’re also looking for things that might not be obvious at first glance.
Is the furniture suitable for rental use? Does the villa require maintenance? Could certain areas be improved? Does the interior style match what today’s guests are looking for? And what makes the property different from competing villas?
These questions help us understand how the villa should be positioned in the market.
Step 3: We Assess the Villa’s Potential
After seeing the property, we can have a much more meaningful discussion about its potential.
We’ll look at factors such as:
- Location
- Villa size
- Number of bedrooms
- Design
- Facilities
- Competition
- Target guests
- Seasonality
- Rental positioning
This is also when we discuss what Gravity could potentially do for the property.
The objective isn’t simply to say:
“Yes, we can manage it.”
It’s to understand how we can manage it successfully.
Step 4: The Management Agreement
Once we’ve agreed to work together, we move forward with the management agreement.
This is where the relationship becomes operational. We collect the information and access we need to manage the property properly and begin preparing the handover.
Depending on the villa, this may include:
- Property information
- Keys and access
- Existing reservations
- Inventory
- Equipment information
- Owner preferences
- Existing suppliers
- Operational information
If another management company is currently managing the property, we also coordinate the transition and review existing reservations.
A proper handover is particularly important when guests are already booked.
Step 5: We Prepare the Villa
Before launching a property, we want to make sure it is genuinely ready for guests.
Some villas require very little preparation. Others may need more attention.
Our team may identify:
- Maintenance work
- Repairs
- Deep cleaning
- Pool servicing
- Garden work
- Furniture adjustments
- Linen requirements
- Guest amenities
- Small improvements
- Styling
This doesn’t necessarily mean renovating the villa.
Our approach is to identify what actually matters for the guest experience and the long-term operation of the property.
If improvements are needed, we’ll discuss the priorities with the owner before moving forward.
Step 6: Professional Photography & Video
Once the villa is ready, it’s time to present it properly.
For most guests, the first experience of a villa happens online. The photographs and videos need to communicate not only what the property looks like, but also what it feels like to stay there.
Gravity has its own professional photographer and videographer, allowing us to create the visual content needed to market our villas.
We photograph and film:
- Bedrooms
- Living areas
- Pool
- Garden
- Architecture
- Details
- Outdoor spaces
- Lifestyle elements
The objective isn’t simply to photograph every room.
It’s to create a visual presentation that reflects the character of the villa and helps potential guests understand why they would want to stay there.
For more on why this matters, see our guide to Bali Villa Photography: Why Professional Photos Matter.
Step 7: Preparing the Villa’s Marketing
Once the photography and video are ready, we prepare the villa for the rental market.
This includes:
- Villa description
- Photography selection
- Listing content
- Amenities
- House rules
- Availability
- Pricing
- Guest information
- Booking channels
The villa needs to be positioned correctly from the beginning.
A beautiful property with weak presentation can easily be overlooked online. Good villa marketing is about making sure the property’s location, design, experience and target market are communicated clearly.
This is part of our broader Villa Marketing Services, where we combine content, photography, digital marketing and distribution to help position a property in the right market.
Step 8: Preparing the Operational Team
A villa doesn’t operate by itself.
Before welcoming guests, we make sure the peo
